What is Zapier?
Zapier is the market leader in no-code automation. It connects your favorite apps โ Gmail, Slack, Notion, Shopify, HubSpot, and 6,000+ others โ and lets you create automated workflows called "Zaps" without writing any code. A Zap is simple: when something happens in one app (trigger), Zapier performs actions in other apps automatically.
Think of it as the connective tissue between all the tools you already use โ freeing you from manual copy-paste, context-switching, and repetitive work.
Key Features
-
1
Zaps (Automations)
A Zap = a trigger + one or more actions. Trigger: "Gmail receives email." Actions: "Add to Spreadsheet, Send Slack message, Create task in Asana."
-
2
AI Actions
Add AI steps directly into a Zap. Summarize text, rewrite copy, extract data from PDFs, or generate images โ all without leaving Zapier.
-
3
Tables
Built-in database inside Zapier. Store data, query it, and use it across multiple Zaps without needing a separate database tool.
-
4
Interfaces
Build custom forms, dashboards, and apps on top of Zapier Tables without code. Collect data, display info, and trigger actions.
-
5
Chatbots
Build conversational bots that integrate with your tools. No code required โ just connect to your Zaps and let the bot trigger them.

6,000+ Integrations
Nearly every SaaS tool has a Zapier integration. If it doesn't, use webhooks to connect custom APIs and platforms.
How Zapier Works
Choose a Trigger
Pick the app and the event that starts your Zap. Example: "Gmail receives an email with attachment." When this happens, the Zap fires.
Add Actions (and Filters)
Define what should happen next. Add filters: "Only trigger if the email is from [domain]." Add actions: "Save attachment to Google Drive, send Slack notification."
Map Fields (Data Passing)
Connect data from the trigger to the actions. Email subject โ Notion page title. Attachment URL โ Google Drive upload. Zapier handles the data flow.
Turn On Your Zap
Enable the Zap and it runs automatically. Each time the trigger fires, Zapier consumes "tasks" (your usage quota). Monitor runs in the History tab.
Real Use Cases
- โ Lead Capture: Form submission โ CRM (HubSpot, Pipedrive, Salesforce). Auto-notify sales team via Slack.
- โ Email to Note-Taking: Forward important emails โ Extract sender, subject, body โ Create Notion page with structured data.
- โ E-commerce Order Routing: New Shopify order โ Check inventory โ Send to warehouse management system โ Notify customer on Slack.
- โ Content Scheduling: Blog published โ Auto-post to LinkedIn, Twitter, Facebook โ Add to content calendar โ Notify team.

Alternatives to Zapier
Make (formerly Integromat)
Visual canvas, routers/iterators, 1,500+ modules. Operations-based pricing โ typically 5x cheaper than Zapier at scale.
n8n
Open-source, self-hosted, unlimited executions. JS/Python code nodes. For developers; steeper learning curve.
Pabbly Connect
Budget alternative to Zapier. Cheaper per task, 500+ integrations. Smaller team, less polished UI.
Microsoft Power Automate
Enterprise-focused. Deep Microsoft ecosystem (Teams, Outlook, SharePoint). Powerful but complex for beginners.
Pro Tips
Use Filters to Save Tasks
Don't let your Zap run on every trigger. Add a filter: "Only run if email contains 'urgent'." This reduces wasted task consumption significantly.
Test Before Enabling
Use the "Test" button extensively. It runs the Zap once without consuming tasks (in most cases), so you can debug before going live.
Use Naming Conventions
Name Zaps clearly: "[Trigger] โ [Action]" (e.g., "Gmail โ Notion Article Tracker"). Makes it easy to find and debug later.
